Introduction
Creator Camp (“we,” “our,” or “us”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, and safeguard your information when you use our Creator Camp mobile application (the “App”).
- Account Information: Name, email address, and profile photos when you create an account
- Profile Data: Information you provide in your creator profile, including bio, social media links, and professional details
- Challenge Entries: Photos and videos you submit to camp challenges, along with any caption you add. See Challenge Entries below for how these are shared.
- Location Data: Venue-specific location information when you opt-in to location tracking (only within defined venue boundaries)
- Push Notifications: Device tokens for delivering important updates about challenges, director messages, and creator information
- App Permissions: Camera access for profile photo uploads, photo library access for selecting existing photos and videos (including challenge entries), and file access for sponsor image uploads and sharing files in chat
- Device Information: Device type, operating system version, and app version
- Usage Analytics: Anonymous app usage statistics (screen views, feature usage, session data) collected solely to improve app functionality. Analytics data is never used for advertising, tracking, or shared with third parties. You can disable analytics collection at any time from Settings > User Account.

- Notifications: Sending important updates about camp events and activities
- Location Services: Enabling venue-specific features when you opt-in (only within camp boundaries)

- App Improvement: Analyzing usage patterns to enhance user experience
- Support: Providing customer service and technical support
- Legal Compliance: Meeting legal obligations and protecting our rights

Limited Sharing Only When:
- Required by Law: When legally obligated to do so
- Service Providers: With trusted partners who help operate our app (e.g., cloud hosting, analytics)

Data Security
We implement appropriate security measures to protect your information:
- Encryption: Data is encrypted in transit and at rest
- Access Controls: Limited access to personal information on a need-to-know basis
- Regular Audits: Security practices are regularly reviewed and updated
Your Rights and Choices
Account Control
- Update Information: Modify your profile information at any time
- Delete Account: Delete your account and data from the User Account page in Settings, or see our Account Deletion instructions if you no longer have access to the app
- Opt-Out: Disable push notifications, location tracking, or analytics collection
Data Access
- View Your Data: Access the personal information we have about you
- Data Portability: Request a copy of your data in a portable format
- Correction: Request correction of inaccurate information
Location Services
Venue-Only Tracking
- Location tracking is opt-in only and disabled by default
- When enabled, tracking is limited to defined venue boundaries only
- When enabled, only other authenticated, logged in users such as creators, directors or counselors can view your location. The general public (unathenticated users) cannot see your location.
- The app only ever requests “While Using the App” location access — it never requests “Always” access
- Once opted in, location updates continue briefly while the app is in the background or your screen is locked, so your position on the venue map stays current for event staff coordination
- No location data is shared with other users or third parties
- Location data is used solely for venue-specific app features
Location Data Protection
- Location information is never displayed on maps outside venue boundaries
- Only distance from venue is shown in list form when outside boundaries
- Location data is automatically deleted when you disable tracking
- Location data is not shared with any third parties and is used exclusively within the app
Motion & Activity Data
- While venue location tracking is enabled, the app may request Motion & Fitness (iOS) or Activity Recognition (Android) permission
- This is used only to detect when you are stationary, so we can update your location less often and save your device’s battery during venue tracking
- Motion data is processed entirely on your device — it is never transmitted, stored, or shared with us, other users, or third parties
- This permission is only requested when you opt-in to venue tracking, and is used exclusively for this battery-saving purpose

- Chat Notifucations: New group or Direct Message notifications

- You can disable push notifications at any time through device and chat settings
- We respect your notification preferences
Chat and Messaging
What We Collect
- Message content: Text, images, GIFs, and files you send
- Metadata: Timestamps, participant IDs, sender names, media URLs
- Channel vs. DM: Channel messages are visible to users with channel access; direct messages are visible only to the participants
Who Can Access Chat Data
- Participants: You can read messages in conversations you participate in and channels you have access to
- Admins: Authorized administrators may access messages for safety, moderation, and enforcement of our Community Guidelines
- Direct messages: DMs are private between participants; admins access them only when a message is flagged for review
AI Moderation
We use automated tools to scan all messages — including both public channel messages and direct messages (DMs) — for policy violations. Message text and images may be processed by a trusted third-party service (OpenAI Moderation API) solely for content moderation. We do not use this data for advertising or any purpose other than keeping our community safe. Flagged content is reviewed by authorized administrators only.
Challenge Entries
What We Collect
- Entry media: The photo or video you submit for a challenge
- Caption: Any optional text you add to your entry
- Attribution: The creator profile the entry is submitted under, and the account that uploaded it
Who Can See Your Entry
- Everyone: Published challenge entries are public. They are visible to all app users and to visitors browsing the app without an account, so that the community can view entries before voting.
- Photos are published as soon as they are uploaded, and are checked automatically (see Moderation of Entries below).
- Videos are not published straight away. Every video waits for an administrator to review it. Until it is approved, only you and your teammates can see it, and it is marked “Awaiting review” in the app.
- Do not submit anything you are not comfortable sharing publicly, and only submit content you own or have permission to share.
- Your identity: Entries are displayed with your creator name and photo. For team entries, the team name and both members are shown.
- Voting is separate: Who voted for which entry is never shown publicly, and administrators see only vote totals.
Removing and Reporting Entries
- You control your entry: Submitting a new entry replaces your previous one for that challenge, and you can remove your entry. For team entries, either member can replace or remove the shared entry.
- Reporting: Any signed-in user can report an entry from within the app. Visitors without an account can report an entry by email. Reports include the reporting account and are visible only to administrators.
- Administrator removal: Administrators may remove any entry that violates our Community Guidelines.
Moderation of Entries
- Photos are scanned automatically when uploaded. The image is sent to a trusted third-party service (OpenAI Moderation API) solely to check it against our content policies. If it is flagged, the photo is removed from public view immediately and held for an administrator to review.
- Videos cannot be scanned by that service, which accepts only text and images. Every video is therefore reviewed by an administrator before it is published. We also check the video’s cover image automatically to help that review.
- Audio is not analysed. Neither the automatic check nor the cover-image check evaluates the sound in a video.
- We do not use this data for advertising or for any purpose other than keeping the community safe. Flagged content is reviewed by authorized administrators only.
Data Retention
Active Accounts
- Your data is retained while your account is active
- Profile information is kept current based on your updates
Chat Message Retention
- Active messages: Retained while your account is active
- Soft-deleted messages: Retained for up to 90 days for safety appeals and audit purposes
- Moderation records: User-reported flags (flagged_content) and AI-flagged records (ai_flagged_messages) are retained for moderation history and safety
Challenge Entry Retention
- Active entries: Retained while the challenge and your account remain active, so past challenge results stay viewable
- Replaced entries: When you submit a new entry for a challenge, the previous photo or video is deleted
- Removed entries: Entries you or an administrator remove are deleted, along with any reports filed against them
Account Deletion
- Upon account deletion, your data is permanently removed within 30 days
- This includes challenge entries you uploaded and the photos or videos stored with them
- Some information may be retained longer if required by law
Age Requirement and Children’s Privacy
Creator Camp is intended for users 18 years of age or older. We do not knowingly collect personal information from anyone under 18. If you believe we have collected information from a minor, please contact us immediately and we will take steps to remove that information.
International Users
Creator Camp is operated in the United States. If you are accessing the app from outside the U.S., please be aware that your information may be transferred to, stored, and processed in the U.S. where our servers are located.
Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of any changes by:
- Posting the new Privacy Policy in the app
- Updating the “Last Updated” date
- Sending a notification for significant changes
Your Consent
By using Creator Camp, you consent to the collection and use of your information as described in this Privacy Policy. If you do not agree with this policy, please do not use the app.
Creator Specific Content Usage Agreement
When you are assigned a creator account and participate in Winman Creator Camp, you agree that any photos, videos, or other content you upload through the app — including the entries you submit to camp challenges — may be used by Winman Trails for advertising and promotional purposes, including on social media, websites, print materials, and other marketing channels, year-round and without additional compensation.
This license is non-exclusive and royalty-free — you retain ownership of your content and are free to use or share it elsewhere. By uploading content, you confirm that you own the rights to it or have permission to share it, and that it does not infringe on the rights of any third party.
Winman Trails may edit, crop, or format uploaded content as needed for promotional use, and may credit the creator at its discretion.
